RPA (Robotic Process Automation) is an automation technique that simulates what a person would do on screen: open a system, click through fields, copy and paste data from one place to another, fill in a form. Unlike an API integration, an RPA bot operates "on top of" a system's interface, the same way a human operator would.
RPA's biggest advantage is automating old systems that have no API, without needing the vendor to open one up. If a process involves pulling data from a legacy system into a spreadsheet, or repeatedly filling in a form on a system with no other integration path, RPA bridges that gap without rewriting anything.
Because the bot interacts with the screen the same way a human does, any change — a button that moved, a version update, a new screen — can break the whole flow. That turns "automate it and forget it" into "someone needs to be monitoring and patching the bot regularly." In operations where the target system rarely changes, that's manageable. In systems that get frequent updates, bot maintenance becomes a recurring job that eats into the savings the automation promised.
Is your RPA bot constantly breaking? Sometimes a direct integration with the underlying system (via API or database) permanently fixes what RPA is just patching over. We'll take a look, free of charge.
Talk to usWhen a direct integration is possible (via API, database, or automated export), that's usually more stable than RPA — because it doesn't depend on the visual interface staying the same. RPA remains the best option when that integration path simply doesn't exist, and rewriting the legacy system isn't feasible right now.
RPA pays off for high-volume, repetitive processes involving systems with no available API, where the bot's maintenance cost is still lower than doing it by hand. When the process is business-critical, or the target system changes frequently, it's worth considering a custom automation with direct integration instead of relying on a bot that simulates clicks.
