What Is Zapier and How Does It Work?

Zapier is a no-code integration tool that connects apps and automates simple tasks between them — when something happens in one app (a trigger), it does something in another (an action). No coding involved; you pick apps from a library of thousands of pre-built integrations and configure the logic through a form-based interface.

What it costs

Zapier has a limited free tier for very light use, then paid plans priced by number of tasks per month, with higher tiers unlocking multi-step zaps, faster execution and more advanced logic (paths, filters). Costs climb quickly once volume or complexity increases.

Where it hits a wall

Zapier is excellent for connecting two mainstream apps with a simple, linear rule. It runs into real limits when: the system you need to connect is niche, regional or legacy and has no pre-built integration; the logic involves multiple conditional branches that get hard to manage as separate "zaps"; or volume grows to the point where task-based pricing becomes a real budget line.

Beyond Zapier

Once you're plugging in a system without a native integration, or the logic needs actual conditional branching and error handling, a custom-built integration talking directly to your systems' APIs is usually more reliable and cheaper to run at scale than stacking more zaps.
